Duck & Covers Party Co LLC — Party Policy & Service Agreement
Services Provided
Duck & Covers Party Co LLC provides themed party and sleepover setup services. Services may include delivery, setup, styling, décor, tents, bedding, lighting, props, and scheduled teardown or pickup. Duck & Covers Party Co LLC does not provide childcare, supervision, food preparation, or event coordination unless explicitly stated in writing.
No Supervision or Childcare
Duck & Covers Party Co LLC does not provide childcare, supervision, or monitoring of children at any time. Our team does not stay on site during the event. A responsible adult must be present for the entire duration of the event, including setup, the event itself, and teardown. Duck & Covers Party Co LLC is not responsible for the behavior, safety, or actions of children or guests.
Packaged Food & Allergy Disclaimer
Duck & Covers Party Co LLC does not prepare, cook, or serve food. Any food or beverage provided as part of an extra or add-on is pre-packaged, sourced from third-party vendors, and delivered or displayed only. Duck & Covers Party Co LLC is not responsible for food allergies, sensitivities, spoilage, or illness. If a food allergy or dietary restriction is involved, it is the client's responsibility to notify Duck & Covers Party Co LLC in advance. We will make reasonable efforts to accommodate disclosed allergies; however, we cannot guarantee an allergen-free environment.
Client Responsibilities
The client agrees to provide a clean, clear, and safe setup area prior to arrival. Each tent requires approximately 3ft × 6ft of floor space. Fragile, valuable, or personal items must be removed from the setup area. Pets must be secured away from the setup space during setup and teardown. Adequate space, lighting, and access to power outlets must be available if required. Duck & Covers Party Co LLC is not responsible for delays or issues caused by unsafe, unprepared, or inaccessible spaces.
Damage to Client Property
Duck & Covers Party Co LLC takes reasonable care during setup and teardown. We are not responsible for normal wear, pre-existing damage, or damage caused by guests, children, pets, or environmental conditions. Any claim for damage to your property must be reported within 24 hours of teardown.
Damage, Loss, or Theft of Duck & Covers Party Co LLC Property
The client is responsible for any damage, loss, or theft of Duck & Covers Party Co LLC equipment beyond normal wear and tear. This includes tents, bedding, décor, lighting, canopies, signage, and props. Cleaning, repair, or replacement fees may apply. Because our team does not remain on site, all equipment is under the care, custody, and control of the client once setup is complete.
Payment Policy
Full payment is required at the time of booking to secure the event date. For parties booked more than 2 weeks in advance, a $200 deposit option is available. No dates are held without payment. A 3% credit card processing fee applies to all transactions. The remaining balance must be paid in full before the party date.
Cancellation & Refund Policy
• Cancellations made 5 or more days before the party date will receive a full refund.
• Cancellations made between 5 days and 48 hours before the party date will receive a 50% refund.
• Cancellations made within 48 hours of the party date are non-refundable. All funds shall be forfeited.
• Date changes (reschedules) made more than 7 days in advance are allowed once at no charge, subject to availability.
Deposit Policy
A $200 deposit is available for parties booked more than 2 weeks (14 days) in advance.
• The $200 deposit is non-refundable under all circumstances.
• The deposit is transferable — if you cancel, we will apply it toward a rescheduled party within 60 days, subject to availability.
The remaining balance is due in full before the party date.
Travel Fees
Duck & Covers Party Co LLC is based in Blue Bell, Pennsylvania. Travel within 30 miles or approximately 45 minutes of driving time from Blue Bell is included in the service price. Travel beyond 30 miles will be billed at $1.50 per additional mile. Extended travel must be disclosed at the time of booking and may be subject to availability.
Setup Access and Timing
The client agrees to provide clear and timely access to the setup location at least three (3) hours before the scheduled party start time, unless otherwise approved in writing. Delays in access may result in reduced setup time, incomplete setup, or modifications to the planned design without refund. Additional setup time is not guaranteed and may incur additional fees if available.
Teardown and Pickup
Standard teardown for sleepover setups begins at 9:00 A.M. the following day unless otherwise arranged. Early teardown is available as a paid add-on. Failure to provide access at the scheduled pickup time may result in additional fees.
Indoor Use Only / Weather and Force Majeure
All Duck & Covers equipment — including tents, beds, bedding, lighting, décor, and props — is for indoor use only and may not be placed outdoors under any circumstances. Duck & Covers Party Co LLC is not responsible for delays or inability to perform services due to weather, power outages, road closures, illness, emergencies, or events beyond our control.
Scope of Services and Liability
Because Duck & Covers Party Co LLC does not remain on site during the event, we are not responsible or liable for incidents that occur during the event. This includes, but is not limited to, spills, stains, burns, injuries, misuse of equipment, or damage caused by guests, children, pets, or environmental conditions once setup is complete.
Insurance
Duck & Covers Party Co LLC is fully insured. Liability is limited to the total amount paid for services. Duck & Covers Party Co LLC is not responsible for indirect, incidental, or consequential damages.
Photography and Marketing
Unless the client requests otherwise in writing, Duck & Covers Party Co LLC may use photos of event setups for portfolio and marketing purposes. No identifiable images of children will be used without explicit written permission from a parent or guardian.
Governing Law
This Agreement shall be governed by the laws of the Commonwealth of Pennsylvania.
Agreement Acceptance
By signing below, the client confirms they have read, understood, and agree to all terms of this Agreement, and confirm they have the authority to enter into this Agreement.
